# Examination Schedule

The **Examination Schedule** feature allows you to create, manage, and monitor examination schedules for applicants.

## Access and Navigation

You can access the **Examination Schedule** under the **Planning** module.

## Filters

Use the filters at the upper-left side of the page to narrow down the list of schedules:

* **Admission Setup** – Filter by admission batch/setup
* **Date** – Filter by the exam date
* **Start Time** – Filter by the schedule's start time
* **End Time** – Filter by the schedule's end time

## Create a New Exam Schedule

* Click the **New** button at the upper-right corner of the page

* A pop-up form will appear. Provide the following details:
  * **Description** – Name/label of the schedule
  * **Venue** – Specify the exam venue in one of three ways:
    * Select from a dropdown of predefined venues
    * Manually type a new venue
    * Paste an online conferencing link (e.g., Zoom, Google Meet)
  * **Admission Setup** – Select the applicable admission setup
  * **Date** – Choose the exam date
  * **Start Time / End Time** – Set the time range for the exam
  * **Capacity** – Limit the number of applicants for the schedule
  * **Receive Email Notification When Threshold is Met** – (Optional) Enable to receive alerts when capacity is reached

* Click **Add Examination Schedule** to save

## Examination Schedule Statuses

Each exam schedule will display one of the following statuses:

* **Overdue** – The scheduled exam date and time have already passed
* **Inactive** – The schedule exists but has not yet been opened
* **Open** – The exam schedule is currently active and available for applicants
* **Closed** – The schedule has been manually closed and is no longer accessible to applicants

## Manage Exam Schedules

### Open a Schedule

* Only **Inactive** or **Open** schedules that are not yet overdue can be opened
* Click the **Open Schedule** button on the right side of the schedule row

### Closing a Schedule

To close an open schedule, click **Close Schedule** on the right side of the row

## View Scheduled Applicants

* Click **View Applicants** on the right side of a schedule

* A pop-up will appear listing all applicants currently assigned to that exam schedule

* From this view, you can:
  * **Reschedule** – Click the **Reschedule** button next to the applicant’s name to assign them to a different schedule
  * **Resend Exam Permit** – Select one or more applicants, then click **Send Exam Permit** at the upper-right of the pop-up to reissue the exam notification

## Edit a Schedule

* Click the three-dot menu icon on the right side of the schedule
* Select **Edit**
* A pop-up will appear with editable fields&#x20;

* Make the necessary changes and click **Save**

## Delete a Schedule

* Click the three-dot menu icon on the right side of the schedule
* Select **Delete**
* Confirm the deletion in the prompt that appears
