Transfer to Edusuite UNI/K12

The Transfer to UNI / K12 feature allows administrators to move applicant data from Edusuite Admissions to the school’s equivalent Edusuite UNI or K12 system.

Access and Navigation

The Transfer to UNI / K12 feature is accessible under the Resolution Module.

Filters

Use the filter at the top of the page to select the Admission Setup where the applicant to be transferred belongs.

Transfer Pre-Requisites

Only applicants who meet all of the following criteria can be transferred:

  • Admission Status: Must be For Releasing of Results

  • Applicant must have confirmed their intent to enroll via the Applicant Portal

  • For UNI: Final Program must be selected For K12: Grade Level Applying For must be selected, and Final Strand if for Senior High School

  • At least one guardian must be recorded in the initial registration form

  • For UNI transfers: Applicant’s email address in Edusuite Admissions must not already exist in the target UNI system

Correlative Fields Setup

Correlative fields define how fields in ADM map to fields in UNI / K12.

Steps

  • Ensure Transfer to UNI / K12 is enabled for the system

  • Go to Planning → Admission Setup.

  • Select the admission:

    • For Started and Ended admissions: Click View Form

    • For Inactive admissions: Click Edit Application Form

  • Open, create, or edit a field in the application form

  • Once loaded, a new dropdown field — Correlative field to UNI / K12 — will be visible

  • Select a UNI / K12 field from the dropdown that matches the ADM field type

  • Click Update field to save changes

Important Notes

  • Only ADM Application Form Fields can currently be mapped.

  • For UNI field eligibility:

    • Go to Users → User Setup → User Information Fields

    • Add a Field Group and Field, ensuring Public has edit access

    • Go to Registrations → Registration Setup → SIS Requirements and enable the new field group

  • For K12 field eligibility:

    • Go to Users → User Setup → User Information Fields

    • Add a Field Group and Field

  • Refer to the Field Type Mapping reference for valid mapping combinations

Initiate the Transfer

  • Tick the checkbox in the rightmost column to select the applicant(s) for transfer

    • Multiple applicants can be transferred in one action

    • Click Transfer Selected to open the Confirm Transfer modal

  • Select a School Term (pulled automatically from the target UNI system)

  • For UNI only: Select a Tuition Plan (not applicable to K12)

  • Review the Mapped Fields section for data that will be transferred

  • Review the Unmapped Fields section for data that will not be transferred

  • Click Proceed to start the transfer

  • The initiating administrator will receive a system-generated email notification summarizing the transfer results

View Transfer History

Purpose: Tracks transfer progress in real-time and records all transfers made

Status Types:

  • Individual Status – Status for each applicant

  • Batch Status – Status for the entire transfer batch:

    • Complete: All applicants transferred successfully

    • Incomplete: One or more transfers failed or are pending

Retry Option: Failed transfers can be retried either:

  • Per batch (retry all failed transfers)

  • Per applicant

Transfer Destination

Once the transfer is successful, the applicant’s data will be accessible in the equivalent UNI or K12 system:

  • UNI: Registrations → Student Registrations → For Payment and Verification

  • K12: Registrations → Manage Registrations
