Exam Score Settings

The Exam Score Settings feature allows users to configure how exam scores are structured and recorded before uploading results. This ensures that scoring aligns with your institution’s specific evaluation criteria.

Access and Navigation

You can access this feature by navigating to the Exam Settings menu.

Create a New Configuration

  • Click the New Configuration button on the upper-right side of the page

  • Enter a Configuration Description that clearly identifies the scoring setup

  • Click Add Configuration to save

Edit an Existing Configuration

  • To update a configuration, click the Edit Configuration button on the right side of the setup

  • Make the necessary changes and save

Add Exam Score Components

  • Within the selected configuration, click New Component on the upper-right side of the page

  • Fill out the required fields:

    • Code – A short identifier for the component

    • Label – The display name of the component

    • Type – Determines how the score is obtained:

      • Lookup – Scores are uploaded in bulk

      • Input – Scores are entered manually

      • Computed – Scores are calculated using a formula

    • Description – (Optional) Additional notes or clarification

  • Click Add Component to save

Edit Score Components

  • Click the Pencil icon beside a component to make changes

  • Update the fields as needed: Code, Label, Type, and Description

  • Click Save to apply the changes

Delete Score Components

  • Click the Trash Bin icon beside the component you want to remove

  • Confirm the deletion to proceed

Search for Score Components

  • Use the Search by filter at the upper-right side of the page to narrow down results

  • Click the Magnifying Glass) icon and type in the relevant keywords


Exam Score Lookup

The Exam Score Lookup feature allows you to configure and manage score computations for uploaded exam results. It works in conjunction with the Exam Score Settings to ensure that data is accurately processed based on pre-defined components.

Access and Navigation

This feature can be accessed under the Exam Settings menu by selecting Exam Score Lookup.

View Configurations

  • Only active configurations set in Exam Score Settings will appear in this section

  • To view a configuration:

    • Click the View Configuration button located on the right side of the desired item

    • This will open a new page displaying the existing lookup configurations

Upload Scores

To upload or replace a score lookup configuration:

  • Click the Upload button on the upper-right side

  • Prepare your file using the following format:

    • File type: .xls (Excel format only)

    • Headers: Must match the code of each component defined in the corresponding Exam Score Settings configuration

  • Select and upload the file

  • Confirm the upload when prompted


Exam Permit Settings

The Exam Permit Settings feature allows administrators to customize the layout and content of the exam permit issued to applicants. This ensures that the permit reflects the school's branding and provides clear instructions for both the applicant and the institution.

Access and Navigation

You can access Exam Permit Settings by navigating to the Exam Settings module.

Configurable Fields

You may customize the following options within the Exam Permit Settings page:

  • Title The main title of the exam permit. This appears on the permit issued to applicants

  • Sub Title (optional) A secondary header displayed below the main title

  • Logo The logo that will be included on the exam permit. This is reflected on the document sent to applicants

  • Layout Select the layout or format used for the exam permit

  • Include School Copy (toggle)

    • When enabled, two copies will be generated: one for the applicant and one for the school.

    • When disabled, only a single copy (applicant version) will be issued

  • Instructions (School Copy) A text field for entering specific instructions shown on the school’s copy of the exam permit. This field is only visible if "Include School Copy" is toggled on

  • Instructions to Applicants A text field for providing important guidelines or reminders for applicants

  • Include Applicant Signature (toggle)

    • When enabled, the exam permit will include a designated signature area for the applicant

    • When disabled, no signature field will appear

  • Footer Note (for Applicant Copy) Additional notes or disclaimers that appear at the bottom of the applicant’s copy of the permit

  • Footer Note (for School Copy) Additional notes that appear at the bottom of the school’s copy of the permit. This field is only visible if "Include School Copy" is toggled on

Save Changes

After making the necessary adjustments, click “Save Changes” to apply the new settings.


Exam Exemptions

The Exam Exemptions feature allows users to exempt selected applicants from taking the entrance examination. Once exempted, these applicants will skip the “For Processing” stage and proceed directly from “For Recommendation” to “For Deliberation.”

Pre-Requisite

Only applicants before the “For Processing” stage can be exempted from the examination process.

Access and Navigation

Navigate to Exam Settings in the main menu and select Exam Exemptions.

Set the Admission Setup

To configure which admissions cycle you are working on:

  • Click the dropdown menu located in the upper-left corner of the page

  • Select the appropriate admissions period or program

Search for Applicants

To locate an applicant:

  • Go to the upper-right corner of the page

  • Use the “Search by” filter to choose your preferred search field (e.g., name, application ID)

  • Click the search (magnifying glass) icon and enter the relevant keyword(s)

Add Exempted Applicants

To exempt applicants from the exam:

  • Click the Add Applicants button in the upper-right corner of the page

  • Select the student(s) you wish to exempt from the list

  • Click Submit to apply the exemption

Remove Exempted Applicants

To remove an applicant from the exemption list:

  • Click the Trash Bin icon next to the applicant’s name

  • Confirm the removal when prompted
