Plotting your Schedule

Viewing your Schedule Plan

1) Choose the schedule plan you want to view and click on its “View Schedules” button.

2) You will be brought to the Schedule view of the schedule plan, where you can see the sections that were opened in the plan’s class demand and a timetable with the days of the week, class hours of the day, and available rooms. This is where you will be organizing the term’s class schedules.

Rooms list

The Rooms List displays all your available resources set up from the Planning Setup module. Rooms are grouped by Room Types and Sorted alphabetically.

Timetable

The default available timeslots for scheduling is from 7AM to 9PM. The timetable can accommodate plotting classes from Monday to Sunday.

The greyed out slots are the unavailable timeslots set up from the Rooms Management module.

Filters and Tools

Unscheduled Sections List

1) In the schedules view, choose a section card from the list on the right and click on it.

2) A side window will appear next to the list. It will contain the following details: the section’s code, the course description, the assigned faculty, the schedule type, and the schedule.

3) You can close this side window, click the “x” on its upper right corner or simply click outside of the side window.

Auto-Scheduling Sections

1) In the schedules view, click on the “Auto-Schedule” button if you want to automatically plot the classes into the timetable according to your term’s planning setup.

2) You can opt to auto-schedule all the sections, the block sections only, or the free sections only. Choose it from the dropdown, then click “Auto Schedule”.

3) Wait until the auto-scheduling finishes. You may leave the page while waiting; it will still auto-schedule in the background.

4) When it finishes, the schedule cards on the right of the page will be plotted on the timetable.

NOTE: There might be instances that classes remain unscheduled, if: there is no available time slot matching the teacherʻs preferred schedule; there are no more time slots available; there are no more slots available in preferred rooms; or, more.

Manual Scheduling

1) In the schedules view, choose a section card from the list on the right.

2) Drag and drop the card onto the timetable according to which room you want to have the class in, which time it will start, and on which time of the week.

3) A window will appear that will give you the option to split the class into a number of days.

NOTE: Course class duration will be split in the days selected. Example, a course with a 3 hr. duration allocated in 3 days will have a 1 hr. class each day selected.

4) Select the days to allocate to by checking the box next to the chosen days, then click “Plot Schedule”. You will not be allowed to plot a section on a room’s unavailable schedule; however, you are allowed to plot it on a faculty’s not preferred time slot, but it will show a small warning icon to inform you.

5) You will see now that it will be plotted accordingly.

Unscheduling a Section

1) In the schedules view, choose and click on one of the plotted classes in the timetable.

2) On the right side window that appears, click the “Unschedule” button under actions.

3) Your class will be unplotted and it will return to the list of classes on the right.

Schedule Summary View

1) Choose the schedule plan you want to view and click on its “View Schedules” button, where you will be brought to the schedules view of the schedule plan.

2) In the Schedules view of a schedule plan, you can find the timetable of the available rooms by the class hours of each day of the week.

3) When you are in the Schedules view, you can also opt to view the schedules per faculty or per room by choosing an option on the “View” dropdown found the left of the “Auto-Schedule” button.

4) Aside from Schedules view, you can also view the "Summary View" by clicking the “Summary view” text under the schedule plan description on the upper left corner.

5) In the Summary view, you will be able to view each of the classes’ details in text form.
