Guardians

This feature allows you to manage existing guardians and create new guardian accounts.

Access and Navigation

The Guardians page is found under the Users module

Search and Sort the Guardian List

To search, click the Magnifying Glass icon in the upper-right corner of the page, enter a keyword, and press Enter. The relevant search results will then be displayed.

To sort, click the Arrow Down A-Z icon in the upper-right corner of the page and select Name as the sorting option. The sorted results will be displayed accordingly.

View a Guardian Profile

To view a guardian’s profile, click on the “Guardian Profile” button on the right side of the page.

Import Guardians via CSV file

  • To Import new guardians, click on the Import button on the upper-right side of the page

  • Click on Download Template and format the data as needed

  • Once done, click on Browse and upload the modified file

  • Click Import once done

Create a Guardian Account

  • To manually create a new guardian, click on the “New Guardian” button on the upper-right side of the page

  • Fill up the details needed and link the guardian to existing students

  • Click Add New Guardian once done

Edit a Guardian Account

  • To edit a guardian’s details, click on the Pencil icon on the far right side of the guardian account

  • Make the necessary changes then click Save Changes once done

Assign the Student to a Guardian

The Guardian-Student Tagging feature allows users to associate students with their respective guardians, ensuring a clear and organized relationship between them. This functionality enables users to efficiently tag or untag students under a guardian, facilitating seamless access to student records, communication, and monitoring.

Before utilizing this feature, both student and guardian profiles must be already created in the system. This prerequisite ensures that accurate associations can be made without errors or missing data.

Once the tagging process is completed, the system updates the guardian’s profile with a list of linked students. This updated list ensures that guardians have the appropriate access to their associated students' information, streamlining their ability to monitor academic progress, attendance, and other relevant records.

  • Go to Users > Guardians > click on the Pencil icon on the far right side of the Guardian account

  • You may add/remove linked children accounts here by clicking on the “Children” field

  • Click Save Changes once done

A notification message will prompt that you have successfully updated the fields.
