Courses

Courses are the subjects offered by your school that students can enroll in.

Access and Navigation

The Courses module can be found under Planning > Planning Setup.

If you cannot view the link from the list, check the privilege assigned to your user account or role.

Create a New Course

  • Click + New Course in the upper-right corner

  • Fill out the required details:

    • Code – A unique short code for the course (cannot be edited once saved)

    • Description – Additional details about the course

    • Schedule Type – Defines how the course will be scheduled

    • Department – Specifies which department the course belongs to

    • Units – The total number of units credited to the student

    • Grading System – Defines how the course is graded and which grading template will be used

    • Included in GPA Computation (Checkbox) – Determines whether the course is factored into the student's GPA

    • Composite Course (Checkbox) – Enable this if lecture and laboratory units are charged separately. The total of lecture and laboratory units must equal the course units

      • Lecture Units

      • Laboratory Units

    • Elective (Checkbox) – Enable this if the course is an elective

    • Allow students to enroll in all electives in one term (Checkbox) – Check this if students can enroll in multiple/all electives

    • Elective Codes – Select which electives are included in the course

  • Click Add Course to save

Edit a Course

  • Select the course you want to edit and click the Pencil icon

  • The “Update Course Information” form will appear. Modify the necessary fields

  • Click Save to apply your changes

Search a Course

Enter a keyword or exact course name in the search bar (upper-right corner). Press Enter to view results matching your query.

Import Courses via CSV file

  • Click the Upload button in the upper-right corner, next to the search bar

  • To ensure the upload meets the required format, download the template file by clicking the link provided

  • Once ready, click Choose a File or Drag it Here to upload your CSV file

  • Click Import File once the upload is complete. The uploaded courses will now appear in the list

Frequently Asked Questions (FAQs)

Question: Why am I getting an error when uploading courses?

Answer: Ensure that the uploaded file meets the following requirements:

  • Code (Required)

  • Description (Required)

  • Schedule Type (Enter "NONE" if there is no schedule type)

  • Department Code (Required)

  • Units (Must be numeric)

  • Lecture Units (Must be numeric; leave blank if not a composite course)

  • Laboratory Units (Must be numeric; leave blank if not a composite course)

  • Grading Type (Required)

  • Included in GPA Computation (Enter "YES" or "NO")
