This process aims to set up sections for each grade level and assign students to their respective sections. To accomplish this, the following prerequisites are required: faculty, rooms, and students. The expected output is a well-organized structure of sections with students appropriately assigned to each one.
To access this module, go to Planning > School Year Setup > Sections
If you cannot view the link from the list, check the privilege assigned to your user account or role.
Contact your school’s system administrator to request view or edit access if you cannot access the rights management screen.
Using the bulk import feature saves time from creating curriculum entries one by one.
Click on the drop-down below Grade Level and choose which school year to manage
Click Import on the upper right portion
It will prompt the required data and format for a successful import:
Section Name - must be unique
Grade level - input "KINDER_1", "KINDER_2", "GRADE_1", "GRADE_2", "GRADE_3" and so on
Strand code - input NO_STRAND for grades 1-10; should be from Track/Strands entries.
Adviser - Faculty Email; should be from Faculty.
Room Code - under what room does this section belong?; should be from Room entries.
Maximum Slot - Number format, Must be greater than 0 and, less than or equal selected room's capacity
Student Numbers (Optional) - must be unique; can be multiple separated by "|"
Start Time (HH:mm) - 24-hour format; start time of the section's class
End Time (HH:mm) - 24-hour format; end time of the section's class
A template is also provided for entering this data.
Once all data is provided and attached, click Import
Click on the drop-down below Sections and choose which school year to manage
To add a new section, click the + New
Fill out the necessary details:
Name - what to name the section; must be unique
Adviser - who will manage the class?; should be from the Faculty
Slot - Maximum number of students in this section
Room - under what room does this section belong?; should be from Room entries.
Start Time (HH:mm) - 24-hour format; start time of the section's class
End Time (HH:mm) - 24-hour format; end time of the section's class
Tick/Untick the checkbox if a non-academic scoresheet should be created for the section
Once done, Add Section
To edit a section, click the Pencil button on the section you wish to edit. Modify the contents as needed. Click Save Changes once done.
If the section was originally created to include Non-Academic Scoresheets and grades have already been entered, unticking the checkbox will result in the deletion of all associated non-academic grades for that section.
To delete a section, click the Trash bin icon on the section you wish to delete. In the confirmation pop-up, click Yes, Delete if decided otherwise click No to go back.
Click on the drop-down below Sections and choose which school year to manage
Click the (n) Students blue button where (n) is the current number of students that the section currently has. In the example below, it is zero
Click + Add
On the dropdown, select the students to assign to the section; can be multiple at a time. The current selection contains the students on that certain grade level and those who have not yet been assigned to any other section for that grade level.
Once done, click Add students
Click on the drop-down below Sections and choose which school year to manage
Click the (n) Students blue button where (n) is the current number of students that the section currently has. In the example below, it is four
Click the X button on the right side to remove a student
Question: I cannot save the section. The system says, "Max slot should not exceed room capacity."
Answer: The number of slots assigned to the section must be less than or equal to the room capacity assigned to it.
Question: Can we assign multiple sections to a single room?
Answer: No, only one section can be assigned to a room. Multiple sections cannot share the same room.
Question: Can we assign the same faculty member as an adviser to multiple sections?
Answer: Yes, this is possible. If you assign a faculty member who is already an adviser to another section, a warning message will appear. However, you will still be able to save your changes.
