Students

This feature allows you to access the information of the students. There are two types of students and nine different statuses.

Active

Students that are currently enrolled

Inactive

Students that are not enrolled

Access and Navigation

The Students module is under Users > Students.

Check the privilege assigned to your user account or role if you cannot view a link from the list.

Manage Student Data

Use the search bar

Import Students/Grades

Upload a CSV file via the Import button

A window will pop up where you can upload the file. If you don't have the template, simply click Template, and it will download a template where you can fill up all the data. Once you have the file, just upload it by clicking Choose a file, then select Import File.

Create a New Student

Click + New Student, fill in the details, and save by clicking Add Student

View and Edit Student Records

Click the three dots > View Records

A menu fill appears.

View Records contain all the student information, such as the student’s profile, the student’s Clearance requirements list, grades, payment history, and deliberation notes.

Edit Student Profile

Click Edit

Fill in the student information as needed. Click the Save Changes button to update the fields.

View Clearance

Manage Grades

View, edit, or download term grades and transcripts

Click Download Term Grades to obtain a PDF file of the student's term grades.

Click Download TOR to obtain a PDF file of the student's TOR.

View/Add Penalties

Manage student penalties

Click Add Penalty to add a penalty for the student.

A window will pop up. Click the dropdown menu, and once you're done, click Add Penalty.

View/Add Discounts

Manage student discounts

Click Add Discount to add a discount for the student.

A window will pop up. Click the dropdown menu, and once you're done, click Add Discount.

Filter and manage student support tickets

To filter the tickets based on their status, such as resolved, open, or archived, click the drop-down menu on the top left.

Update Student Info and Status

Update Info

This feature allows you to edit the information of the student. Click the three dots on the right side of the screen.

A menu will appear.

Update the student's information. Once done, click Save Changes.

Change Student Number

This feature allows you to change the student number of the student. Click the three dots on the right side of the screen.

A menu will appear.

Change the student number, then click Save Changes once done.

Intent to Enroll

This feature allows you to update the student's intent to enroll for next semester. Click the three dots on the right side of the screen.

A menu will appear.

Click the drop-down menu "Yes or No," then click Save Changes.

The student will be marked "Yes" or "No" for their intent to enroll.

Mark as Graduate

This feature allows you to update the student status. Click the three dots on the right side of the screen.

A menu will appear. You will mark a student as graduated. In doing so, you will not be able to use this student in any form of enrollment process.

A window will pop up for confirmation; click Graduate to confirm.

The status of the student will be marked as Graduate.

If marking the student as graduated was a mistake, you can simply undo the action by clicking the three dots again and selecting Unmark as Graduate.

Deactivate/Reactivate Student

This feature will deactivate the account of the student. Click the three dots on the right side of the screen.

A menu will appear, click Deactivate.

A window will pop up for confirmation; click Deactivate to confirm.

The student's status will be marked as "Deactivated," and they will no longer have access to their account.

To reactivate the student, click the three dots on the right side of the screen.

A menu will appear. Click on Re-Activate.

A window will pop up for confirmation; click Re-Activate to confirm. The deactivated mark will no longer be visible.

Delete User

You can only delete an account that has no associated records for example, grades. If the account has a record, you cannot delete it, and an error will be shown.

This feature will delete the account of the student. Click the three dots on the right side of the screen. Please be cautious, as this action cannot be undone.

A menu will appear, click on Delete.

A window will pop up for confirmation; click Delete Student to confirm.

A notification will indicate that the student has been deleted.
