# Student Reports
Last updated: March 2025
These reports allow administrators to generate detailed data on students based on enrollment, academic progress, and demographics.
The **Student Reports** can be found under the **Reports** menu.
Check the privilege assigned to your user account or role if you cannot view a link from the list.

## Student Directory
Generate a list of students based on the courses they are currently enrolled in, the programs they belong to, and their enrollment status.
**Available Filters:**
* **Course** – Filter by enrolled course
* **Program** – Filter by academic program
* **Status** – Show only students with a specific enrollment status
* **Term** – Select the academic term to filter the data
* **Grade Filters** – Apply filters related to academic performance
* **Other Filters** – Use additional filters as needed
* **Fields to Display** – Choose which student information to include in the report (e.g., name, student number, year level).
**Actions:**
* Click **Download Report** to export a file
* Or click **Email Me This Report** to receive it via email
* Previously generated reports will appear in the record section below
## Enrollment Report
Provides detailed class enrollment information for each student in a selected term. The report is divided into two sheets:
* **Enrollment** – Students are tagged as officially enrolled by the cashier
* **Enlistment** – Students who selected subjects but have not been officially tagged as enrolled
**Included Data:**
* Student Number
* Student Last Name
* Student First Name
* Student Middle Name
* Year Level
* Program Code
* Program Name
* Student's Program Revision
* Subjects Enrolled
* Units per Subject Enrolled
* Block Section Name
* Free Section Name
* Course Equivalency of Subject Enrolled
* Faculty Assigned per Subject Enrolled
* Schedule per Subject Enrolled
* Room per Subject Enrolled
**Output:** PDF or Excel\
**Estimated generation time:** Less than 10 minutes
## Enrollment Summary
This report provides a summary count of students by **sex**, **year level**, **program**, and **college**.\
Default filters include all colleges and programs.
## Grades Report
Exports all recorded grades of students for a specific term.
**Included Data:**
* Student Name (Last Name, First Name format)
* Student Number
* Program Code
* Year Level
* Enrolled Course Code
* Enrolled Course Description
* Enrolled Course Unit
* Enrolled Course Equivalency Code
* Enrolled Course Equivalency Unit
* Grading Schemes (This will depend on your grading scheme setup)
* Prelim Grades
* Midterm Grades
* Finals Grades
* Faculty assigned to the Course
* Name of User who last encoded or updated the grades of the student
* Timestamp of encoding
Click **Download Report** or **Email Me This Report** to generate a copy.
