Schedule Types

The Schedule Types section allows you to define the time allocation for each room (e.g., “3 hours in a lecture room”).

Access and Navigation

The Schedule Types module can be found under Planning > Planning Setup.

If you cannot view the link from the list, check the privilege assigned to your user account or role.

Create a New Schedule Type

  • Click + New Schedule Type in the upper-right corner

  • Fill out the required details

    • Label - ensure the label is unique

    • Meetings - specify the required room type and the duration of each class session

      • Room Type

      • Hours

      • Alternative Room Types

  • Click Add Schedule Type to save

Edit a Schedule Type

Edits to Schedule Types are instantly reflected in the Scheduler View, regardless of the term selected in the main Planning menu.

  • To edit a schedule type, select the schedule type you want to edit and click the Pencil icon

  • In the Edit Schedule Type Information form, update the necessary fields

    • The label must remain unique

    • The Room Type and Alternative Room Types fields cannot be edited once set

  • Click the Update Schedule Type button to save your changes. You will be redirected to the Schedule Type page, where the updates will be immediately reflected

Delete a Schedule Type

Edits to Schedule Types are instantly reflected in the Scheduler View, regardless of the term selected in the main Planning menu.

  • Select the Schedule Type you want to delete, then click the Trash Bin icon next to it

  • A confirmation message will appear—click Delete to proceed. The schedule type will be removed from the list

View Meetings

  • Click the View Meetings button

  • The system will display the plotted schedules, organized weekly and per hour

Add a Possible Time Slot

  • Click the View Meetings button

  • Click the Add Possible Time Slot button at the bottom of the page

  • The “New Possible Schedule” form will appear. Ensure the total hours per week match the schedule type’s required hours

  • Click the Add Possible Schedule button to save. You will be redirected to the View Meetings page, where the newly added schedule will be displayed

Upload Possible Time Slots via CSV file

  • Click the Upload button in the upper-right corner of the page

  • To ensure the uploaded details match the required format, download the template file by clicking the provided link

  • Once your file is ready, click Choose the .CSV File or Drag It Here to upload

  • Click Import Schedules after the upload is complete. The imported time slots will now be displayed in the list

Delete Possible Time Slots

  • Locate the schedule you want to remove. Click the X button at the end of its row

  • A confirmation message will appear—click Delete to confirm. The schedule will be removed from the list.

Search a Schedule Type

Enter a keyword or the exact schedule type name in the search bar at the upper-right corner, then press Enter to search. The system will display all matching results based on your input.

Frequently Asked Questions (FAQs)

Question: Why Can’t I See the “Schedule Types” Menu in My Account?

Answer: If the "Schedule Types" menu is not visible in your account, check if your user role has the necessary privileges:

  1. Navigate to Users > User Setup > User Groups

  2. Ensure that your account is assigned the correct permissions to access the Schedule Types module


Question: Why Am I Getting an Error When Uploading?

Answer: If you're encountering an error during file uploads, ensure that your file meets the following requirements:

  • Start Time must follow the HH:mm format (e.g., 09:00).

  • End Time must follow the HH:mm format (e.g., 12:00).

  • Days of the Week must be represented as M, T, W, TH, F, SAT, SUN and can include multiple days, separated by | (e.g., M|W|F).

  • Total weekly hours must match the Schedule Type's required hours.

Verify the file formatting before uploading to avoid errors.
