In this module, you can create schedules based on a class demand. This is to plan for the next term's schedule or make modifications to the ongoing enrollment's schedule. You can assign faculty, schedules and rooms to classes.
Click on the 'Schedules' tab found under the Planning category. This will bring you to the Schedules page.
1) Click on the "New Schedule Plan" button on the upper right of the page. This will show a "New schedule plan" form.
2) Enter the necessary information needed to create a schedule plan:
Description - This field will be used to identify you schedule plan from the overall Schedule Plans list.
Tip: You can indicate the term and or school year you are planning for. i.e., 2nd Sem 2019 - 2020
Class Demand - This selection determines the number of sections and which classes to offer for the incoming term.
Additional Toggles
Auto-Assign Faculty to Sections - Toggling this setting will trigger the system to automatically assign faculty members to the sections being created. Note that faculty members must have already filled out their teaching profiles beforehand.
Two-Set Calendar Mode - Toggling this setting enables the use of the Schedule Cycle workflow. This will allow you to create two sets of schedules to be used for the duration of a semester or term.
3) Afterwards, click the "Add Schedule Plan" button to create your new schedule plan.
4) You will now be redirected to the Schedules page where you will see your newly created schedule plan and at the Class Demand page, you will see an "Active" marker for the class demand used.
1) Choose the schedule plan you want to edit and hover on it. Upon doing so, you will see icons on the upper right corner of the section. Click on the edit/pencil icon, where you will be shown the "Update schedule plan" form.
2) You will only be able to edit the description. When you are done, click on the "Update Schedule Plan" button.
3) You will be redirected to the Schedules page where you will see that your schedule plan's description is now updated.
1) Choose the schedule plan you want to edit and hover on it. Upon doing so, you will see icons on the upper right corner of the section. Click the delete/trash icon.
2) An alert message will show asking if you are sure you want to delete the item. Click "Delete" to finalize the deletion.
3) Your chosen item has now been removed from the list.
You cannot delete a schedule plan that is being used for an enrollment. These schedule plans are marked with "Open for Enrollment" tags.
1) To search for a schedule plan, type in a keyword or the exact text on the search bar above.
2) Press enter on your keyboard to search. A list of searches that matches your description should show below.
1) If you have made changes in your class demand or you want to direct your schedule plan to a different class demand, hover on your schedule plan's three vertical dots and select "Refresh Section".
2) You will be asked to choose a class demand from the list, then click "Refresh Schedule Plan".
3) You cannot refresh a schedule plan if there are conflicts in the student enlistments. You will be required to make adjustments to their enlistments by individually removing or delisting students from the conflicting classes.
4) If there are no conflicts, you will see a list that will update you on the refreshed schedule: which sections were dissolves, which were added, etc.
